What it is
Your profile is the record of who you are as a person on Agentency: display name, photo, company, website, job title, country, and phone.
It belongs to you, not to a workspace. If you own one workspace and are a member of two others, you still have exactly one profile, and all three show the same name and photo. Switching workspaces never changes whose profile you are editing.
When you would use it
- Your name is wrong, misspelled, or still shows an old surname.
- Teammates cannot tell who you are in a member list because you have no photo.
- You want your company details right before invoices or team lists are shared.
- You are joining a workspace and want to be recognisable before you do.
Where to find it
Open Dashboard → Settings → Account.
Before you start
- Have a square-ish photo ready if you plan to upload one. Faces read better than logos at small sizes.
- Decide the display name you actually want colleagues to see. It is not your login and does not have to be your legal name.
Steps
- Open Dashboard → Settings → Account.
- Wait for the card to fill with your current details. Do not start typing into a form that looks empty — see the warning below.
- Edit your display name. This is what the top bar, member lists, and invitations show.
- Upload or replace your photo using the avatar control at the top of the card.
- Optionally fill in company, website, job title, country, and phone.
- Save. The top bar updates your name without a full page reload.
- Refresh once if a stale tab elsewhere is still showing the old name.
What you will see
The Account page is a single profile card with the Danger zone below it. The email field is displayed but not editable — it is your sign-in address, and Agentency has no self-service change form for it. See Change your name or email.
If your profile cannot be loaded, you get a retry state rather than an empty form. That is deliberate and it protects you: an empty form that saved successfully would wipe your company, phone, and job title with blank values. Nothing is editable until your real values are on screen.
What each field is for

Two of these are regularly misread:
Company is not your workspace name. Filling it in does not rename anything your customers see, and it does not appear on the chatbot. It is a detail about you as a person.
Phone here is not a security feature. It is a contact detail. It does not enable two-factor authentication (that uses an authenticator app — see Two-factor authentication), and it is not the number used if your installation requires phone verification at signup.
Choosing a photo
- Square images work best. A wide image is cropped to a circle and usually loses the interesting part.
- Aim for a clear face or a simple mark. Detailed logos become unreadable at the size actually displayed.
- Common web image formats are accepted. If an upload is rejected, re-save it as a standard PNG or JPEG at a modest size.
- Removing a photo returns you to initials, which is a perfectly good default.
Limits and plan notes
- Every signed-in user can edit their own profile on every plan, including Free.
- Nobody can edit anybody else's profile. A workspace owner cannot rename a member or change their photo. If a member list shows the wrong name, ask that person to fix it.
- Your profile is not per workspace. There is no way to appear as "Sam" in one workspace and "Samantha" in another.
- The email address on this page is read-only, and changing your name never affects how you sign in.
Common problems
Save is missing, or the form looks empty.
The profile failed to load. Use Retry. Do not type into a blank form and save — you can overwrite company and phone with empty values that way.
My new name does not show in the sidebar.
Refresh once. The current tab usually updates immediately; other tabs left open can lag behind.
The photo uploaded but still shows the old one.
Browser image caching. Hard-refresh the page (hold Shift while reloading), or check on another device to confirm the new image really did save.
I changed my name and my teammate still sees the old one.
They need to reload. Names are read when their page loads, not pushed live to everyone.
I want to change my email.
You cannot from here, and there is no in-app change flow. See Change your name or email for the options.
I edited my profile while inside a colleague's workspace and expected it to be separate.
It is not separate. You have one profile everywhere. Only chatbots, knowledge, customers, and billing belong to a workspace — see The Accounts list.
Common questions
Can I change my email address here?
No. Email is read-only on this page because it is your sign-in identity. See Change your name or email for the realistic options.
Does my teammate see the company field?
They see your display name and photo. Company and job title are details about you as a person — they are not a second name for your workspace.
Why does the page show Retry instead of my details?
Your profile failed to load. The form is hidden on purpose: saving an empty form would overwrite your company and phone with blank values.
Is the phone field used for two-factor codes?
No. It is a contact detail only. Two-factor uses an authenticator app, and signup phone verification is a separate flow when your installation requires it.
Can a workspace owner rename me?
No. Nobody can edit anybody else's profile. If a member list shows the wrong name, that person has to change it themselves.
